Legal Secretary (Family Law)
Location: Salt Lake

Jones Waldo is accepting resumes/applications for a full-time Legal Secretary.  This position will be equally distributed between the Domestic/Family Law Department and Civil Litigation & Transactional Law. This position also requires performing a variety of secretarial and administrative duties in accordance with established policies and procedures.  Also, professionally interacts with clients, attorneys and fellow staff members, maintaining confidentiality.  Position reports to the Human Resources Manager. Only applicants with previous work experience and performance in the areas listed under Job Responsibilities will be considered. 

Job Responsibilities:

  • Drafts and/or prepares correspondence, memoranda and other legal documents as requested
  • Schedules appointments, hearing dates and mediations; establishes and maintains effective calendar and reminder system for the department
  • Answers phones, takes and relays messages, uses email
  • Opens new files, coordinates Conflict of Interest checks, reviews/edits invoices, proofreads billing sheets and processes invoices.  Maintains all client and general files.
  • Fosters professional relationships with clients, attorneys and fellow staff members
  • Coordinates with other administrative support staff (Word Processing, receptionists, hospitality and services departments)
  • Reads, sorts, dates and appropriately routes incoming mail.  Properly routes outgoing mail and coordinates items to be delivered.
  • Ensures client and Firm confidentiality

Job Requirements:

  • Post-high school education in office management, business management, paralegal studies, related field or equivalent
  • Very strong organizational and communication skills.
  • Prefer 10+ years experience as a legal secretary with recent experience in Family Law issues and processes
  • Excellent clerical skills (e.g., strong typing skills, knowledge of formatting memos, letters, using templates)
  • Strong computer skills in Microsoft Word, Outlook, Excel, XChange and PACER
  • Ability to maintain accurate records, track numerous dates and deadlines, work on projects simultaneously, retain a great deal of information and keep attorney updated on all case
  • Able to calendar and docket cases efficiently
  • Strong understanding of the rules as they pertain to court procedures and processes
  • Pleasant, positive demeanor with the ability to work with a variety of people and foster a professional work environment
  • Good organization and time management skills
  • Working knowledge of Utah and Federal Rules of Civil Procedure and E-Filing via CM/ECF
  • Excellent written, verbal and listening communication skills
  • Excellent grammar, punctuation, spelling and basic business math skills
  • Ability to work under moderate to limited supervision in high-expectation environment
  • Good judgment and the ability to make effective decisions and evaluate complex situations
